The challenge.

Technical and marine teams were spending their days inside a shared inbox: thousands of vessel emails a month, certificates tracked in spreadsheets and PDFs, PSC findings analysed by hand, and inspection reports typed up from photos long after the ship had moved on. The information existed; getting to it took people.

What we deployed.

Email intelligence

Every vessel email is read and classified; action items are created with owners and due dates, and superintendents get a morning brief per fleet.

Certificate and document register

Over 2,000 certificate records and their PDFs, kept current from the company's certificate system and searchable by the whole team.

PSC root-cause analysis

Five years of Port State Control history imported and analysed across the fleet, with cross-fleet patterns and corrective actions.

Vessel reports and manuals

Noon and passage reports validated and searchable; company manuals on a shelf the team can question directly.

Captain-GPT on board

Offline-first inspections and defect capture on the ship, syncing to shore when connectivity returns.

Outlook add-in

Email analysis and action items where the team already works.

How it runs, day to day.

The superintendent opens the brief: overnight emails triaged, three decisions at the top, the rest already assigned.

A PSC inspection is due in Singapore; the vessel's history and fleet patterns are summarised and a checklist is drafted for the master.

Photos from an engine-room inspection arrive from the ship; the report and a supplier RFQ are drafted before the end of the day.
