The challenge.
With small teams there is no one to hand a question to. A PSC query, a certificate renewal and a charterer's email all land on the same desk, and the knowledge of how things were done last time lives in one or two heads. Every absence was a risk, and every new vessel added load in exactly the places the team was already thinnest.

One workspace per company
Fleet command, inbox, inspections, tasks and the assistant, each set up as its own tenant with its own users and data.
Supt-GPT and Marine-GPT
Technical email handled with action items and drafts; marine and regulatory questions answered with sources, so the team is not dependent on who is in the office.
Captain-GPT on board
Masters capture inspections and defects on the app; shore sees them the same day without a typed report.
Certificates and reports
A single register of certificates with expiry tracking, and vessel reports checked and searchable on arrival.
How it runs, day to day.
One operator opens the brief for the whole fleet: overnight email triaged, certificates approaching expiry flagged, two decisions at the top.
A charterer asks about a vessel's PSC history; the answer, with the inspection records behind it, is ready in minutes.
A defect logged on board becomes a task with a supplier enquiry drafted, without anyone retyping it on shore.
